These Terms & Conditions apply to private individuals (“you”, “the Hirer”) hiring equipment and/or services from JPN Event Services (“we”, “us”, “our”). By making a booking, you agree to be bound by these Terms & Conditions.

1. Eligibility and Authority

1.1 You must be at least 18 years of age and legally capable of entering into a binding contract.

1.2 By making a booking, you confirm that you are acting in a personal capacity and not on behalf of a business, organisation, or charity.

2. Formation of Contract

2.1 A contract is formed when you do any of the following:

  • pay a deposit or full balance;
  • sign a booking form, invoice, or agreement;
  • confirm acceptance verbally, electronically, or in writing.

2.2 These Terms & Conditions apply to the exclusion of any other terms.

3. Payment, Deposits, and Booking Security

3.1 A deposit of 25% of the total hire cost is required to secure a booking.

3.2 No booking is confirmed until the deposit has been received.

3.3 The remaining balance must be paid in full no later than 14 days before the start of the hire period.

3.4 If full payment is not received by the due date, we reserve the right to treat the booking as cancelled by you and retain the deposit.

3.5 JPN Event Services is not VAT-registered. All prices quoted are final and no VAT is charged.

4. Consumer Cancellation and Refunds

4.1 Cooling-off period
Where the booking is made more than 28 days before the hire start date, you may cancel within 14 days of booking and receive a refund of any monies paid less the 25% deposit.

4.2 Deposit non-refundability
The 25% deposit becomes non-refundable once 28 days have passed from the date of booking, regardless of the hire date.

4.3 Cancellations within 14 days of the hire start date
No refunds will be given for cancellations made within 14 days of the hire start date. The full hire fee remains payable.

4.4 These cancellation terms reflect the fact that equipment, staffing, and availability are reserved specifically for your event and cannot reasonably be reallocated at short notice.

5. Ownership and Risk

5.1 All equipment remains the sole property of JPN Event Services at all times.

5.2 Responsibility and risk for loss, theft, or damage passes to you upon collection or delivery and remains with you until the equipment is returned to us and accepted back into our possession.

6. Insurance

6.1 You are responsible for insuring the hired equipment for its full replacement value for the duration of the hire period.

6.2 We reserve the right to request evidence of insurance at any time.

7. Use of Equipment

7.1 Equipment must:

  • be used only for its intended purpose;
  • be operated by competent persons;
  • be kept secure, dry, and protected from damage.

7.2 Equipment must not be:

  • modified, tampered with, or repaired;
  • sub-hired, loaned, or assigned;
  • taken outside mainland UK
    without our prior written consent.

8. Dry Hire (Unstaffed Equipment Hire)

8.1 Where equipment is supplied without technicians, you accept full responsibility for:

  • setup and installation;
  • operation and use;
  • dismantling and packing.

8.2 We accept no responsibility for faults, damage, or performance issues caused by incorrect installation, misuse, or lack of competence.

8.3 Any costs arising from misuse or incorrect installation will be chargeable to you.

9. Staffed Events

9.1 Where technicians are supplied, we retain operational control of the equipment at all times.

9.2 You must provide:

  • safe working conditions;
  • adequate, legal power supplies;
  • suitable access for personnel and equipment.

9.3 We reserve the right to suspend or terminate services where conditions are unsafe or non-compliant, without liability for any resulting delay or interruption.

10. Festivals and Outdoor Events

10.1 For outdoor or festival events, you are responsible for:

  • ground conditions and site safety;
  • weather protection, shelter, and access;
  • compliance with local authority, licensing, and event regulations.

10.2 We may delay, suspend, or terminate services where weather or site conditions pose a risk to safety or equipment.

10.3 No refunds are payable for disruption or cancellation caused by adverse weather or circumstances beyond our reasonable control.

11. Delivery and Collection

11.1 Delivery and collection are kerbside only unless setup or dismantling services are booked in advance.

11.2 You must provide legal access and suitable parking.

11.3 Failed deliveries or collections caused by access issues remain chargeable.

11.4 Responsibility for equipment remains with you until it is loaded back onto our vehicle or returned to our premises.

12. Equipment Condition

12.1 Equipment is deemed to be supplied in good working order unless faults are reported immediately upon delivery or collection.

12.2 You must notify us immediately of any fault, loss, or damage.

13. Loss, Damage, and Cleaning

13.1 You are responsible for:

  • loss or theft;
  • damage beyond fair wear and tear;
  • excessive dirt, liquid damage, or contamination.

13.2 Charges may include:

  • repair or replacement costs;
  • cleaning fees;
  • labour and transport costs.

14. Replacement and Cleaning Charges (Indicative)

  • XLR / TRS Cable: £15 replacement / £5 cleaning
  • IEC / Power Cable: £15 replacement / £5 cleaning
  • Speaker Stand / Pole: £70 replacement / £5 cleaning
  • Microphone Stand: £40 replacement / £5 cleaning
  • Microphone Clip: £10 replacement / £5 cleaning
  • Other items: Cost to be confirmed

15. Faulty Equipment

15.1 If equipment becomes faulty during the hire period, our responsibility is limited to repairing or replacing the equipment, or refunding the hire charge for the affected item.

15.2 We are not responsible for consequential losses including event cancellation, loss of enjoyment, or additional costs incurred.

16. Liability

16.1 Nothing in these Terms limits or excludes liability for:

  • death or personal injury caused by negligence;
  • fraud or fraudulent misrepresentation;
  • any liability that cannot be excluded by law.

16.2 Subject to clause 16.1, we are not liable for indirect or consequential losses.

17. Governing Law

17.1 These Terms & Conditions are governed by the laws of England and Wales.
